Visa Assistant, Dubai

Background / General description
The International Finance Corporation (IFC), a member of the World Bank Group, is a global investor and advisor committed to promoting private sector development in emerging markets. IFC Investment Team is currently recruiting a Visa Assistant to support the growing business in its field office; Dubai, United Arab Emirates.
Duties and Accountabilities
Responsibilities will include, but will not be limited to:
  • Processing of Residence Visas and Emirates IDs for locally recruited staff with Immigration and EID Authorities
  • Processing of Residence IDs for internationally recruited staff with Ministry of Foreign Affairs
  • Assistance with dependent visas for families of staff and their domestic help, e.g. drivers, gardeners, maids, etc.
  • Assistance with conversion of Driving licenses to UAE for international staff
  • Processing issuance of UN traffic plates for international staff
  • Assistance with mission visas to various countries
  • Independently drafting emails, letters and faxes to the Ministries, Embassies/Consulates as required from time to time
  • High quality word processing, proofreading and editing, correspondence and documents in Arabic.
  • Retrieving/extracting information from various sources, including Government/Ministry/Embassy/Consulates websites and the internet as necessary.
  • Establishing, updating/maintaining relevant files.
  • Handling written and verbal requests from internal clients.
  • Providing assistance for visas relating to groups/VIPs visiting for events, conferences, workshops, meetings, etc.
  • Assisting with the clearance of shipments concerning IFC or its staff after obtaining exemption of customs duty from MOFA.
  • Representing IFC in governmental offices, police stations, etc. as required.
  • Undertaking ad hoc assignments on a need basis.
  • Maintaining confidentiality and professional conduct at all times
Selection Criteria
  • University degree preferred - High School diploma mandatory.
  • At least 3 years of relevant work experience mandatory. Experience with UN Agencies preferred.
  • Excellent administrative and communication skills.
  • Organizational skills and the ability to multi-task.
  • Strong interpersonal skills, positive attitude and flexibility to work effectively in a team-oriented and multi-cultural environment.
  • Ability to prioritize workload and work well under pressure with minimum supervision to meet timelines.
  • High degree of initiative and commitment to meeting deadlines.
  • Strong Arabic & English language skills (verbal and written), including ability to draft a variety of correspondence and edit materials using proper grammar, punctuation and style.
  • Willingness to perform ad hoc tasks.
  • Ability to stretch working hours, when required.
